25th Namaste India2017 Stall Application

We are pleased to inform that Namaste India2017 will be held at Yoyogi Park Event Area, same as last year expecting about 200,000 visitors

Stalls will be composed of 6 categories. They are Restaurants, Beverage (B), Services(E: Esthetic, Healing, Yoga etc.), Tourism & Corporate Advertisement (T), Venders (V) and NPO/NGO(N). The Working Committee will do the best to share happiness and great success of Namaste India event with all the participants among government concerns, enterprises, stall holders, stage performers as well as all the visitors.

As entry application for stall is limited within 20 days only from 1 June through 20 June, 2017, we would like those who are interested in participation of stalls to place Entry Application for Stall in earlier date. Please be advised that Namaste India is an event exclusively featuring culture of India. Other countries’ culture and like will be out of scope in performance and stalls, except for cultural introduction performed at the stage admitted by the Working Committee.

Prior to lodging application, you are kindly requested to read and agree with the Memorandum of Rules and Compliance which are part of Rental Agreement on Tent Facility. In case of not following the rules, that is subject to rejection of application.

Function Restaurant and Beverage stalls offering Indian cuisine, Shops of India made handicrafts, garments and etc. Stalls of Tourism information, Display and Performance of Indian culture and art, Esthetic, Healing and Yoga Demonstration.
Admission Free
Setting up On 22 September, 2017. Time will be informed later.
Dismantling On 25 September, 2017. Time will be informed later.

Type of Stall: R Restaurant

○ Conditions on participation:
1. License holder of food service shop
2.Contract holder of PL insurance for food service

○ Facility of stall per (R-1) unit: Desk 4, Chair 4, Ceiling Light 2tubes、AC Power 100V 1kw 
○ Hygienic Facility: Subject to Health Office approval which depends on size of stall. Preliminary checking to be conducted by Working Committee

Remark:*R-2 stall and larger one will be limited to those who will be classified to Group A.

○ Approval for Participation:
After evaluation on entry application, person-in-charge will call on restaurant of the applicant and conduct interview with director of the restaurant. Result of evaluation will be reported by the end of June, 2017. Passed applicants will be informed of Group A or B to be associated with.

○ Grouping:
Passed applicants will be classified into Group A and Group B.
Group A:Selected participants experienced in past Namaste India who are well accepted with good performance and compliance in the past participation.
Group B:Rest of participants experienced as well as non-experienced.

○ Steps taken till the event dates:
On 4 July, 2017: Orientation Meeting for Group A participants will be held at Indian Embassy in Tokyo. Stall location map will be disclosed following to distribution of Tent Rental Agreement to respective participants and in turn function of stall selection will be carried out in the manner of picking draw by the participants.

On 11 July, 2017: Orientation Meeting for Group B participants will be held at Indian Embassy in Tokyo. Stall location map will be disclosed following to distribution of Tent Rental Agreement to respective participants and function of stall selection will be carried out in the same manner as Group A mentioned above. However selection of stall will be limited to un-occupied stalls after Group A selection.

Date of Orientation Meeting is subject to change according to the circumstances.
31 July, 2017: Due Date of payment for the Rental Agreement. Participation of Namaste India will finally become effective by the settle of payment by this due date. In case of delay, it gives chance of disqualification of participation.

On 29 August, 2017: Final Meeting for all the participants will be conducted at the Indian Embassy in Tokyo.

○ Condition of Cancellation:
No refund of payment for the Tent Rental Fee in case of reason by participants as well as cancellation of the festival due to the reason for natural disaster like typhoon, earthquake, epidemic dengue favor. In ordinary case, no rain out will be conducted.

○ Conditions on participation:

○ Conditions on participation:
1. Managing own sales shop or net shop. Spot base individual importers are out of qualification.
2. Products and or merchandizes are made in India.
3. In case of sales of food items, it is compulsory to put food description seal describing raw materials and shelf life under legal law. No cooking and tasting service is possible.

1. Tourist agent associating with country of India and Corporate associating with import/export business with India
2. Corporate campaign activities with flyer distribution at own stall.

1. Legal business registration holder with won service shop
Individual and or group organized for this event participation will be out of scope.
2.Because of insufficient sanitary condition on outdoor services, it should be in principle within the activity for promotion and demonstration purpose. But lease sanitary condition should be prepared for.

1. NPO/NGO acknowledged and approved by Working Committee.
2.  Flyers distribution and presentation at the own stall are acceptable but no sales activity (If you sell for support activity, it is possible up to 50% by a space.)
